Container, flat rack or break bulk: what decides each option, how long it really takes and where the bill runs away.
Transport is the line item that breaks the most Europe-to-Latin-America deals. Not because it is expensive in itself, but because it is almost always estimated badly: a price is quoted on rough data, the purchase is closed with that figure in mind, and the real invoice lands thirty or fifty per cent higher.
The good news is that nearly all of it is avoidable. Freight is estimated well when the data given is exact, and exact data comes off the machine, not the advert.
Before requesting a single quote you need five figures: length, width, height, weight and loading point. Measured, not estimated, and with the machine as it will actually travel, counting the base frame, the cradle and everything that comes off and ships separately.
These figures decide whether the machine fits in a container, and that line separates two different worlds of price. A few centimetres too tall can multiply the freight cost.
Closed container. The cheapest and best protected option. A 40-foot high cube takes roughly 12 metres long by 2.35 wide by 2.69 high inside; a 20-foot, about 5.9 by 2.35 by 2.39. If the machine fits, it is almost always the right answer.
Open top. A container with no rigid roof, closed with a tarpaulin. It works when the only problem is height, or when the machine has to be craned in from above because it will not roll through the doors.
Flat rack. A base with no walls or roof. It is the answer for equipment that is over width or over height, and it takes heavy weights. It costs more than a closed container and it exposes the machine, so packaging and wrapping stop being optional.
Break bulk. The machine travels loose in the hold or on deck, with no container. This is what very large or very heavy equipment requires. There are fewer sailings, longer schedules and more coordination, but for some machines it is the only route.
From Europe, most cargo bound for Latin America leaves through Algeciras, Valencia and Barcelona in Spain, and through Antwerp, Rotterdam and Hamburg in the north. Equipment sitting in Germany or Italy can leave through any of them: what decides is not proximity but sailing frequency to your destination.
At destination the usual ports are Veracruz and Altamira in Mexico; Santos and Paranaguá in Brazil; Cartagena and Buenaventura in Colombia; Callao in Peru; San Antonio and Valparaíso in Chile; Buenos Aires and Zárate in Argentina; Guayaquil in Ecuador; and Colón and Balboa in Panama.
It is worth asking about more than one arrival port. The freight difference between two ports in the same country can easily outweigh a longer inland leg.
Sea transit from Europe usually runs between two and five weeks depending on destination and the number of calls: the Caribbean and northern South America are closer, the southern Pacific and the River Plate further. These are orders of magnitude, not a promise: every carrier and every service has its own transit and you should get it in writing.
On top of that transit sits everything nobody counts: dismantling and preparation at origin, inland haulage to the port, waiting for a sailing, customs clearance at destination and the final leg to your plant. All in, a normal deal runs six to twelve weeks from closing to the machine standing in your building.
A freight quote is therefore not the cost of transport. Always ask for it broken down into origin, sea and destination: it is the only way to compare two offers.
Cargo insurance is written on the declared value of the goods, not on what you think the machine is worth. If you under-declare to pay less duty, you are also under-declaring for the insurance, and that surfaces on the day of the claim.
Check exactly what is covered: basic cover and all-risks are not the same thing, and many machinery claims happen not at sea but during loading and unloading. If the machine travels on a flat rack or as break bulk, that difference matters more.
All wooden packaging crossing borders — pallets, cradles, chocks, blocks — must be treated and marked to international standard ISPM 15. It is not optional and not negotiable: an unmarked cradle can have customs hold or reject the whole shipment.
Beyond that, good packaging protects what breaks most: guards, control panels, sensors and anything that protrudes. Whatever comes off and travels separately should be labelled and listed, or reassembly at destination turns into a puzzle.
If this is your first import and you have no forwarder you trust, an incoterm where the seller delivers at the port of departure makes life simpler without losing control. If you import regularly and have negotiated rates with your carrier, you are better off taking the cargo at origin and arranging it yourself.
What rarely suits anyone is a DDP where the European seller undertakes to deliver everything paid at your plant: most sellers do not know your country's customs regime, and that ignorance ends up being paid for in delays. Whichever you choose, write it with the exact place.
